Privacy Policy

This notice explains what Pass GCSE English collects when you browse the website, buy a product, contact us or use The Writing Lab.

The short version

  • You can read the site and download the free resources without creating an account.
  • The shop collects the information needed to take payment and deliver your order.
  • The Writing Lab stores account details, writing, feedback and subscription status so the service can work.
  • We do not sell or rent personal information. If you leave a workbook basket unfinished after entering an email address, you may receive one reminder unless you opt out.
  • You can ask what we hold, ask for a correction or ask us to delete information by emailing hello@passgcseenglish.co.uk.

What we collect and why

Orders from the shop

When you place an order, we collect the details needed to process and deliver it. These may include your name, email address, billing and delivery address, telephone number if supplied, the products ordered, payment status and any messages about the order.

We use this information to fulfil our contract with you, provide customer support, handle refunds and keep the records required for accounting, tax and legal purposes. Card payments are handled by Stripe. We do not receive or store your full card number. Where Bookvault prints and dispatches a workbook, we share the order and delivery information it needs to produce and send the book.

Unfinished baskets

The shop records baskets that are started but not completed. If you provide an email address during checkout and leave without ordering, it may save that address and the basket contents to send one reminder about the unfinished purchase around an hour later. An opt-out option appears beside the email field at checkout, and the reminder email includes an unsubscribe link. Abandoned basket records are set to be deleted after 365 days. Completed order records are handled separately.

The Writing Lab

If you create a Writing Lab account, the service holds your email address, first name if supplied, date of birth, parent or carer email where required, your writing, the feedback returned to you and your subscription status. Payment is handled by Stripe and transactional emails are sent by our email provider.

Your writing is sent to Anthropic to generate the mark sheet. A small number of responses may be reviewed without the writer’s identity to check that the marking is working as intended. Marked work is deleted automatically 12 months after it is written; you can also delete your work from your account. Read the Writing Lab’s full privacy notice for the service-specific detail.

Welcome-session enquiries

If a parent or carer signs up for the GCSE English resit welcome session, the form collects the parent or carer’s name, the student’s name, an email address, a phone number, whether marked summer scripts are available, and any optional notes. It also records the parent-or-carer declaration. We use these details to arrange the session, send the Microsoft Teams joining link and answer the questions provided. The form submission is stored in our website form system.

Emails and contact forms

If you contact us, we keep the message and the details you provide so we can reply and deal with anything that follows. We normally keep correspondence for up to two years unless it needs to be retained with an order or for a legal reason.

Website analytics

We use Google Analytics to understand visits, popular pages, downloads and completed purchases. It may process technical information such as your approximate location, browser, device type, pages viewed and actions taken on the site. We use this information to improve the website and understand whether it is working.

Cookies

Essential cookies are used where the website, checkout or logged-in services need them to work. Analytics cookies help us measure use of the main website. You can block or delete cookies in your browser settings; blocking non-essential cookies will not stop you reading the site or buying a product.

Who we share information with

We share information only where needed to operate the service, fulfil an order or meet a legal obligation. Providers may include our website and database hosts, WooCommerce, Stripe, Bookvault for print and fulfilment, Google Analytics, Anthropic and the services used to deliver transactional emails. We do not sell or rent your information.

Some providers may process information outside the UK. Where this happens, we rely on the safeguards used by that provider for international transfers.

How long we keep it

Order and financial records are kept for as long as required for accounting, tax and legal purposes. General correspondence is normally kept for up to two years. Writing Lab retention is described above and in its separate privacy notice. Information is deleted or anonymised when it is no longer needed.

Younger users

Our products are made for GCSE students. A Writing Lab user under 16 must provide a parent or carer’s email address when creating an account. The parent or carer is told that the account exists and can ask for it and the information linked to it to be deleted.

Your rights

Under UK data protection law, you may ask for a copy of personal information we hold about you, ask us to correct or delete it, restrict or object to some uses, or ask for information you supplied in a portable form where that right applies. Email hello@passgcseenglish.co.uk. We will normally respond within one month.

If you are unhappy with how we use your information, you can complain to the Information Commissioner’s Office at ico.org.uk or call 0303 123 1113.

Changes

We update this notice when the site, shop or Writing Lab changes. The date at the top shows the latest revision.
